Job Description: We are seeking a creative and detail-oriented Event Coordinator to join our team at Rive Gauche Club. As an Event Coordinator, you will be responsible for planning, organizing, and executing a variety of events and special initiatives to enhance member engagement and foster a sense of community within the club. You will play a key role in curating unforgettable experiences that reflect the club's standards of excellence and luxury.

Responsibilities:

  • Collaborate with club management to conceptualize and plan a diverse range of events, including events with luxury brands, art galleries, wellness centres, charity/gala events, networking opportunities.
  • Coordinate all aspects of event planning, including venue selection, catering, entertainment, décor, staffing, logistics, and budget management, to ensure flawless execution and memorable experiences for members.
  • Liaise with internal departments and external vendors to secure necessary resources and services for events, negotiating contracts and agreements to optimize value and ensure alignment with the club's standards and objectives.
  • Forge partnerships with luxury brands, art galleries, beauty brands, and other relevant partners to enhance event experiences and offer exclusive collaborations and activations.
  • Develop and maintain event timelines, checklists, and budgets, monitoring progress and making adjustments as needed to meet deadlines and financial targets.
  • Act as the main point of contact for event inquiries and requests, providing personalized assistance and guidance to members and guests throughout the event planning process.
  • Oversee event setup, operations, and breakdown, ensuring that all aspects of the event run smoothly and according to plan, while addressing any issues or concerns in a prompt and professional manner.
  • Collaborate with the marketing team to promote events through various channels, including social media, email marketing, and club communications, maximizing attendance and engagement among members.
  • Conduct post-event evaluations and analysis, soliciting feedback from attendees and stakeholders to assess event success, identify areas for improvement, and make recommendations for future events

Requirements:

  • Proven experience in event planning and coordination, preferably within the hospitality, lifestyle, or entertainment industry.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities in a fast-paced environment.
  • Excellent communication, interpersonal, and negotiation skills, with the ability to interact effectively with individuals from diverse backgrounds.
  • Creativity and resourcefulness in conceptualizing and executing innovative event concepts and experiences.
  • Proficiency in event management software, Microsoft Office Suite (Word, Excel, PowerPoint), and social media platforms.
  • Flexibility to work evenings, weekends, and holidays as needed, depending on event schedules and requirements.
